Executive Assistant Office Manager

Good Shepherd is looking to fill a full-time position in the church office. The Executive Assistant Office Manager position is the heart of our office. As a full-time staff member you would be compensated with full-time benefits and a competitive wage.

 

Job Description

 

Ministry Title: Executive Assistant Office Manager                           Reports to: Senior Pastor

 

Ministry Description:  The Executive Assistant Office Manager provides primary executive support to the pastors and staff.  Is the lead receptionist, oversees volunteers and others who assist in office support functions, and manages the church office. Supports and coordinates with executive staff to enhance and implement the mission and vision of Good Shepherd Lutheran Church.

 

Primary Responsibilities

Executive Support:                                                                                                                                                           

Provide primary executive support to the pastors and staff.  Prepare and/or distribute correspondence and reports as needed.  Provide leadership for the development of the Annual Report of the Congregation, administer the Parish Record Book, complete the annual Parochial Report, record weekly attendance and provide the Hospital Visitation team with patient information. Assist with arrangements of baptisms and funerals. Process membership transfers.

 

Office Management:

Lead receptionist for the church office to welcome members and visitors; receive incoming calls, handle requests and provide information as needed. Schedule use of facility and record in Master Calendar. Maintain office equipment, purchase and maintain office supplies, and execute mail handling and distribution. Plan staff functions, trainings and events.

 

Information Systems:                                                                                                                                        

Administration of computer and telephone systems. Ensure effective and up-to-date computer processes. Update, train and manage user access to the ICON software database program.  Assist staff with computer and equipment needs.

 

Council Recording Assistant: 

Prepare monthly Council agenda and distribute with required reports.  Attend monthly Council meeting to record and prepare minutes for Council approval.  

 

Publications:                                                                                                                                                                      

Responsible for distribution of publications including the Other Page, Shepherd’s Voice, mass emails and mailings.  Responsible for materials before and after Church Council meetings.  Provide oversight, training and guidance to volunteers assisting with completing projects and mailings. Assist with developing the monthly newsletter.  Responsible for editing, printing and distribution of weekly bulletin with in Publisher.  Assist with social media updates and releases.

 

Financial:

Assist Accounting Specialist and Parish Administrator with accounting duties as needed to ensure dual control policies are implemented.

 

Meetings & Administration:                                                                                                                                    

Attend staff meetings, Council meetings, continuing education sessions and other meetings as needed for effective learning, communication and coordination. 

 

General support:                                                                                                                                                        

Assist others – staff and volunteers – in meeting the overall needs of the congregation. Fill in for others as the need arises and as priorities and workloads require.

Engage in the ministry of self–care through personal and spiritual growth.  Nurture your spiritual growth through prayer, worship services, reading, attending educational conferences and other avenues personally chosen to foster this growth.        

 

Education and Experience Desired

Bachelor’s Degree in Business Administration or related with five years of experience in executive support functions and supervisory skills; or business management experience deemed equivalent to the requirements aforementioned.

 

Talents and Gifts needed for this Ministry

A heart and desire to lead God’s people in ministry that supports the vision and mission of the church.   Skills in organization, multi-tasking, time management, communication, teamwork, proofing/editing, Microsoft Office Professional Suite including word processing, Publisher software and Excel. Requires sensitivity and confidentiality.  Self motivation and ability to determine priority needs from routine tasks. 

 

Supervisory Responsibility

Oversees volunteers and others who assist in office support functions.

 

Examples of Working Conditions

A full-time position (40 hours per week) with eligibility for benefits as outlined in the employee manual.  Typical work schedule is from 8-5, Mon-Thurs. and 8-3 on Friday, with 1 hour lunch break, plus minimal evenings work.
